Proposal Application Process

Although you are an established partner, each year of partnership in April, you will be required to submit a Program Proposal that tells Kohl's what community outreach program you will be proposing to execute with that year's grant. Below are details of steps included in the Program Proposal process.

  • Step 1:
  • Mid-January: The Program Proposal Instruction Document and Sample Proposal Budget (Appendix 1) will be provided to you via e-mail.
  • These documents will assist you in understanding the information Kohl's needs in order to review and approve your Program Proposal.
  • Please use these documents to begin gathering details to fill in each question asked on the Proposal Application.
  • This is a good time to begin meeting with your marketing departments/ agencies to begin thinking about and gathering all applicable detail required in the proposal
  • Step 2:
  • Early-March: You will receive a Donation Letter that will tell you the donation amount you will receive that year.
  • You cannot submit a Program Proposal until you have this donation amount.
  • You must submit one Program Proposal using the entire donation amount for one program.
  • Step 3:
  • April: Proposal deadlines - submit a new Program Proposal.
  • NOTE: Refer to your Donation Letter for YOUR proposal due date; you MUST adhere to this date.
  • Submit a new application by entering your current email address and password
  • Returning applicants may access saved applications by entering email address and password.
  • Attach a 501(c)(3) letter, required Kohl's budget template, hospital naming policy (if applicable) and story/photo.
  • Step 4:
  • April through August: Kohl's will review and approve all Program Proposals (approx. 8-10 week process per proposal).
  • During these months, you will hear from the Kohl's contact or Kohl's agency contact who is reviewing your proposal to follow up on any additional information needed from you.
  • Once reviews are complete, you will be notified of approval via e-mail
  • Step 5:
  • Submit a Donation Announcement Event Form (DAE) Form
  • Once your Program Proposal is approved, you will be required to host a Donation Announcement Event.
  • You are required to submit a DAE Form to Kohl's PR Team (submit to KCKHospitalPR@kohls.com) for approval no less than 4 weeks before your event
  • Kohl's will review the form and approved it – once approved, Kohl's will work with you to produce an oversized check and assist in securing a Kohl's representative and A-Team for the event.
  • Event target dates: July through October of grant year.
  • Step 6:
  • Donation Announcement Event Form approval/ 2010 Donation Check
  • Once your DAE Form has been approved by Kohl's PR, Kohl's will cut and send your donation check.
  • Step 7:
  • Donation Announcement Event Recap Form
  • Please submit a Donation Announcement Event Recap Form after your event is complete.
  • Submit to KCKHospitalPR@kohls.com
  • Step 8:
  • August 31: Budget Summaries are due
  • Using the Budget Summary Template, compare your previous year's proposed budget to your actual spend and/or projected spend.

NOTE:

Monthly, you will receive a Hospital Partner Update e-mail from the Kohl's contact to remind you of current program status and key dates/deliverables.
